Information Management at BidCarbon Foundation

Updated by The BidCarbon Legal Team on 2 January 2026

The Information and Records Management Service (IRMS) provides policies and solutions to help BidCarbon Foundation staff manage, secure, and reuse information in compliance with applicable requirements.

As part of the Foundation’s knowledge and information management function, IRMS helps safeguard BidCarbon information and maximise its value as a key asset. Our vision is that information management is embraced and valued by staff and delivers measurable benefits to BidCarbon.

We develop policies for managing business information and content, providing guidance and training to help staff apply them in their daily work. Our approach supports BidCarbon Foundation’s broader strategy to enhance the use of information, data, and digital tools and services.

Information Management Policy

The Information Management Policy sets the framework for managing information within BidCarbon Foundation and applies to staff across the Foundation, including those in the Secretariat, the Board of Trustees, the Technical Governance Committee and the Technical Advisory Committee.

Members of the Board of Trustees and members of the Technical Governance Committee or the Technical Advisory Committee are independent data controllers in their own capacity. They are not subject to this policy when acting in their personal capacity, except when holding an official position within the Foundation’s governance structure (e.g. as a Chair of a Committee), in which case this policy applies to the information they create and use in that role.

Parliamentary Protective Marking Scheme (PPMS)

The Protective Policy Management System (PPMS) helps ensure BidCarbon Foundation information is secure by guiding users on the appropriate protection level for information of different sensitivities. It applies to all staff, contractors, and suppliers who work with Foundation information.

See the Related Documents section for the Quick Reference Guide.

Authorised Retention Disposal Policy (ARDP)

The Authorised Retention and Disposal Policy (ARDP) is BidCarbon Foundation’s information disposal policy. It provides mandatory instructions on when information should be destroyed or transferred to the Foundation’s archives for permanent preservation.

It covers functional areas of the Foundation (or Keyword 1s) and includes additional policy statements.

See the Related Documents section for the ARDP and policy statements.
